IQ Resource Group is seeking an Administrative and Project Management Assistant to support and execute the daily administrative functions needed to maintain upfront customer service, accounting support, project management clerical detail, and administrative support to owner.
Shift: Monday-Friday 8:00am-4:30pm
Location: Fond Du Lac, WI
Pay: $22-25/hr
Responsibilities:
- Answer Phones/Direct Calls
- Handle/Direct Walk-Ins
- Hand out Job Applications
- Primary Administrative support to Project Management Department as directed
- Tracking and managing customer files
- General duties that are associated with process work that can be done at the front desk.
- Create new jobs from the PO’s that we receive
- Create new files for the G&L jobs (if needed)
- Create new folders on the server (if needed), when possible, save PDF of drawing
- ALL other administrative functions as directed
- Assisting in the Accounting Department:
• Print and process most of the incoming invoices
• Print and file all order confirmations
• Enter/Select invoices to be paid to vendors weekly - Pull out the invoices that are being paid
- Put the checks in the envelopes, seal and stamp them all
- File all created and paid invoices/checks
- Matching invoices to all Pack List(s), PO’s, and Associated Paperwork
- Accounting Clerical:
- Create all new folders for AP and AR Yearly, sort, box, label yearly files and invoice
- Cash Sales- Create Pack Lists, Invoices, Process Payments
Perform other assigned administrative duties associated with Purchasing, Accounting, Project Management and Estimating as directed by Owner.
Any other duties as assigned.
